The Operations Assistant is responsible for providing functional and administrative support to the Operations Support group to ensure timely delivery of Get Set for School | Handwriting Without Tears | Keyboarding Without Tears (GSS | HWT | KWT) products to end users.

Job Duties

  • Maintain thorough working knowledge of Operations business rules, the order processing system (CMS) and GSS | HWT | KWT's product lines to ensure customer orders are entered into CMS according to established procedures.
  • Maintain thorough working knowledge of GSS | HWT | KWT's document management software, SmartSearch, to ensure customer orders move through the established order entry path according to Operations business rules.
  • Assist in generating and maintaining daily Product Operations reports.
  • Contact customers to answer questions related to orders for taxes, pricing or shipping.
  • Remove hold on tax exempt orders.
  • Process and provide efficient and accurate data entry of tradeshow and depository orders minimizing errors and maintaining a high level of productivity.
  • Support the order entry process during higher volume months through tasks, including purchase order processing and order batch review.
  • Assist with miscellaneous Accounts Receivable tasks, including check entry, during higher volume months.
  • Scan and tag sorted orders and split and merge documents in SmartSearch.
  • Act as the contact person for internal groups on customer tax exemptions.
  • Retrieve and sort mail from the post office, identifying orders, checks and all other office correspondence.
  • Assist in arranging and setting up facilities and supplies for internal events, including Pizza Fridays, Happy Hours and employee birthday parties, as needed.
  • Maintain and order office and facility supplies.
  • Back up Customer Service by answering and handling incoming customer phone accurately and efficiently, as needed.
  • Assist in mailing invoices to customers with pending payments, as needed.
  • Receive and process UPS/Fedex shipments.
  • Assist in maintaining filing system for completed orders.
  • Assist and perform additional tasks and special projects as directed by the Operations Support Supervisor or Operations Manager.

Required Education/Skills

  • High school diploma or equivalent; B.A. or B.S. strongly preferred.
  • 1+ years related experience in customer service and/or data entry.
  • Experience with order entry database and document management software preferred.
  • Solid verbal and written communication.
  • Good organizational skills with the ability to handle multiple projects at once while completing quality work on a timely basis.
  • Experience and comfort working with sensitive & confidential information; excellent ethics and judgment.
  • Ability to work both independently and with a team.
  • Good interpersonal skills in dealing with co-workers, warehouses and vendors
  • Ability to excel in a rapidly changing environment.
  • Functional knowledge of MS (Excel intensive)
  • Excellent attention to detail.
  • Ability to sit for long periods of time; ability to access, input, and retrieve information from the computer.
  • Ability to work some overtime.
