The Human Resources Specialist is responsible for providing human resources support and service Learning Without Tears (LWT) employees regarding recruitment, employee relations, employee programs, training, compensation, benefits, and communication in compliance with federal and state employment laws. The Human Resources Specialist supervises the daily activities of the Facilities & HR Assistant.

Job Duties                                

  • Provide assistance to employee and management requests on inquiries pertaining to employment, payroll, benefits, policies and procedures, and various LWT programs.
  • Source, screen, interview, and recommend qualified candidates for open positions, following established recruitment process
  • Maintain knowledge of legal requirements and government reporting regulations affecting human resources functions and ensure policies, procedures, and reporting are in compliance.
  • Coordinate, facilitate, and document company training programs, in partnership with external training consultants.
  • Facilitates training for staff on processes and HR systems and programs.
  • Conduct new hire orientation by providing information on LWT's history, culture, core values, policies, and procedures in order to ensure new hires feel welcome and understand their role.
  • Ensure completion of new hire paperwork by reviewing for accuracy and completeness in order to be consistent with record keeping policies.
  • Under Human Resources Manager direction, support, consult, and guide management on employee relation issues. Provide input and assist with solution development for solving employee relations issues.
  • Under Human Resources Manager direction, serve as an employee advocate, coaching, and counseling employees on performance related issues, listening to employee concerns and feedback, interpreting and communicating company policies, investigating any potential violations of EEO laws, and gathering information in order to ensure timely a resolution.
  • Administer LWT's 401(k) plan, serving as liaison between LWT, employees, and third party administrator and facilitating 401(k) committees meetings.
  • Assist with the administration of LWT's benefit programs including group health, life, disability, workers' compensation insurance. Ensures timely and accurate recording of enrollments and changes of eligible employees into HR and benefit administration systems.
  • Assist employees with claims procedures, billing discrepancies, and information regarding employee benefits and leaves of absence, ensuring that related policies and procedures are being adhered to and customer service standards are maintained.
  • Process paperwork for leaves of absence; ensure timely payment of employees on paid disability leaves; maintain benefits for those on leaves of absence.
  • Assure compliance with COBRA guidelines by entering appropriate and timely information into benefit administration system.
  • Review incoming documents for adherence to established policies and procedures, including completeness of information and appropriate signatures. Enter information into HR systems with attention to accuracy and time deadlines. Generate periodic reports as required. 
  • Create employee communication documentation, postings, and flyers, maintaining bulletin boards and other communication forums to ensure information is up-to-date, interesting, and relevant.
  • Assist in hiring and training, motivating, evaluating, and supervising staff to ensure employees receive adequate guidance and resources to accomplish established objectives.
  • Understand group objectives, standards, guidelines, initiatives, and plan to achieve group and individual accountability and results.

Required Education/Skills                      

  • A. or B.S. in Human Resources or equivalent work experience.
  • 4+ years related experience in human resources.
  • PHR or SPHR preferred.
  • Knowledge of federal, state, and local laws, rules, and regulations.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to handle multiple projects at once while completing quality work on a timely basis.
  • Supervisory experience preferred.
  • Experience and comfort working with sensitive & confidential information; exceptional ethics and judgment.
  • Ability to coach others to enhance their skills.
  • Ability to work both independently and with a team.
  • Strong interpersonal skills in dealing with co-workers, vendors, and agencies.
  • Strong decision making skills.
  • Ability to excel in a rapidly changing environment.
  • Expertise with MS Office, experience with QuickBooks, TimeForce, or other HRIS preferred.
  • Excellent service orientation.
  • Excellent attention to detail.
  • Ability to sit for long periods of time; ability to access, input, and retrieve information from the computer.
  • At times, ability to bend, stretch, and use arms and hands to reach, lift, and post.  
  • Ability to lift up to 20 lbs.
  • Ability to work a flexible schedule including some nights and weekends.
  • Ability to travel approximately 5% of working time.
